Coinfest Asia (“we”, “our”, or “us”) respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, share, and protect your personal data when you:

• Visit or use our website(s) (e.g., coinfest.asia);
• Register, purchase tickets, or attend our Events;
• Create a profile on, or otherwise use, the Coinfest Asia networking app (the “App”);
• Interact with us online or offline in connection with our services.

The App is available only to verified event attendees. There is no public sign-up; access is granted through a secure sign-in link (“magic link”) sent to the email address associated with your event ticket, and we do not collect or store passwords for the App.

By accessing the site, registering, attending Events, or using the App, you consent to the practices described in this policy.

Information We Collect

a. Information You Provide Directly

We collect information you submit when you:

• Register for an event;
• Purchase tickets or services;
• Subscribe to newsletters or promotions;
• Contact customer support;
• Complete onboarding on the App or otherwise build and update your App profile;
• Send or respond to connection requests on the App.

This may include:

• Full name, email address, phone number, billing/shipping address;
• Payment details (processed by secure payment providers);
• Company name, job title, and other profile information;
• Your stated goals for attending the Event and topics of interest;
• Your role/position, and details about your company or project, including its focus area and team size;
• The content of connection request messages you send to, or receive from, other Users of the App.

b. Automatically Collected Information

We automatically collect certain information when you visit the website or use our services, including the App:

• IP address, device type, browser type, operating system;
• Pages visited, time and date of access, referring URLs;
• Cookies and similar tracking technologies;
• App usage data, such as which profile fields you complete, the connection suggestions you are shown, and the connection requests you send, accept, or decline.

This helps us analyse trends, improve the site and services (including the App’s matching feature), and enhance user experience.

c. Third-Party Sources

We may receive information about you from third parties such as:

• Payment processors;
• Analytics providers;
• Marketing partners;
• Our ticketing/registration system, from which certain App profile fields (such as your name, job title, and company) may be auto-filled;

to support service delivery or improve marketing relevance.

How We Use Your Information

We use personal data for purposes including but not limited to:

• Registering you for Events;
• Processing purchases and sending confirmations;
• Communication about your registration, orders, and updates;
• Providing customer support;
• Personalising your experience and improving our services;
• Analysing usage data to enhance our offerings;
• Generating and displaying your App profile to other Users for networking purposes;
• Running the App’s matching feature to suggest other Users you may want to connect with, based on your profile, goals, and interests;
• Enabling you to send and receive connection requests and messages through the App;
• Maintaining the safety and integrity of the App, including detecting spam, abuse, or violations of our Terms & Conditions.

To operate the App, keep our community safe, and comply with the law, we may access, review, or retain content you share, including messages, for example when it is reported to us or where required for security or legal reasons.

We recommend you never share sensitive information, such as private keys, seed phrases, passwords, or financial account details, through in-app messaging.

Legal Basis for Processing

Where applicable, we process your personal data based on one or more of the following legal grounds:

• Your consent (e.g., marketing communications, and creating an App profile that is visible to other attendees);
• Performance of a contract (e.g., fulfilling ticket orders, providing the App’s networking features to registered Users);
• Compliance with legal obligations;
• Our legitimate business interests (e.g., service improvement, generating Matches, and keeping the App and Event community safe).

Cookies and Tracking Technologies

We use cookies and similar technologies to:

• Enable essential site and App functions;
• Analyse site and App usage and performance;
• Remember your preferences and settings.

You can manage or disable cookies through your browser settings, though some features may not function without cookies enabled.

App Permissions

The App requests device permissions only when needed and only for the purposes described in this policy:

• Camera: to scan QR codes to connect with other attendees and to take a profile photo.
• Photo library: to choose a profile photo.
• Notifications: to send you push alerts about matches, messages, and connection requests.

You can change or revoke these permissions at any time in your device settings. Some App features may not work properly without the relevant permission.

Tracking and Advertising

The App does not include advertising analytics or tracking SDKs. We do not track you across other companies’ apps or websites, and we do not use your data for third-party advertising or cross-app tracking.

Visibility of Your App Profile and Disclosure of Personal Data

Your App profile. When you create a profile on the App, certain information, including your name, role, company/project name and focus, and the interests you select, is made visible to other registered Users of the App so that they can find and connect with you. Please do not add any information to your profile that you do not wish to share with other attendees. Content you send in a connection request is visible to the recipient(s) of that request.

We may also share your information with:

• Service providers assisting with operations (e.g., payment processors, analytics, cloud services, and the technology providers that operate the App and its matching functionality);
• Event partners or sponsors where required for Event participation;
• Law enforcement or government authorities when required by law or to protect rights and safety;
• Other third parties with your explicit consent.

We require that third parties protect your data in accordance with applicable laws.

Data Retention

We retain personal data, including App profile and connection data, only as long as necessary for:

• Providing services you request, including the App’s networking features;
• Fulfilling contractual obligations;
• Complying with legal requirements;
• Resolving disputes and enforcing agreements.

After this period, data may be securely deleted or anonymised. You may request deletion of your App profile at any time via the App’s Menu (Delete Account), or by contacting us at the email address below; note that messages you have already sent to other Users may remain visible to those recipients.

Children’s Privacy

Our services, including the App, are intended for individuals aged 18 or older. We do not knowingly collect personal information from individuals under 18. If we become aware that personal data from a minor has been collected without consent, we will take steps to delete such information.

Security

We implement reasonable administrative, technical, and physical safeguards to protect personal data from loss, misuse, or unauthorised access. However, no system is completely secure, and we cannot guarantee absolute protection.

Your personal data may be transferred to and stored in countries outside your residence where our service providers operate. We take steps to ensure appropriate safeguards are in place in compliance with applicable law, including Indonesia’s Personal Data Protection Law (UU PDP) and, where relevant, the GDPR.

Third-Party Websites & Services

Our website and App may include links to third-party websites or services which have their own privacy policies. We are not responsible for their content or practices. We encourage you to read their privacy policies before interacting with them.

We may update this Privacy Policy from time to time to reflect changes in practices, services (including new App features), legal requirements, or regulatory changes. We will update the “Last Updated” date above when revisions are made.
